01Introduction and Operator

The Pet Award Show, also referred to as "PAS," is an independent project operated from Lebanon. References to "PAS," "we," "us," or "our" mean the operator of that project. The operator determines why and how personal information described in this Policy is processed.

This Privacy Policy explains what information PAS collects, why it is collected, how it is used, which service providers process it, how long it is kept, and what choices and rights may apply. It covers PAS websites, voting activities, newsletter subscriptions, team applications, direct communications, and other online PAS features that link to it.

02Information PAS Collects

2.1 Voting Information

When voting is open, PAS may ask for:

  • a Roblox username;
  • choices in each award category;
  • the date and time of the submission; and
  • technical information and voting patterns needed to identify duplicate, automated, invalid, or abusive voting.

A Roblox username is used as a basic anti-duplication measure. It does not prove a voter's real identity, and PAS does not guarantee that the voter owns the related Roblox account.

PAS does not need and will never ask voters for a Roblox password, authentication code, recovery information, Robux, payment information, or in-game items. Voters should not place real names, addresses, telephone numbers, email addresses, passwords, or other unnecessary information in voting fields.

PAS voting forms are provided through Moaform. Moaform processes form responses and may process IP addresses, cookies, access records, device or browser information, and other technical data according to the Moaform Privacy Policy.

2.2 Newsletter Information

When a visitor subscribes, PAS collects the email address and may process:

  • the subscription date and time;
  • active, unsubscribed, or suppression status;
  • delivery, bounce, and complaint information;
  • email opens or link clicks if those Resend tracking features are enabled; and
  • limited technical information needed to deliver and protect the service.

PAS uses Resend to manage contacts and deliver emails. The address is used for PAS news, important dates, voting reminders, show announcements, and closely related updates. A subscriber may unsubscribe at any time using the link in a newsletter email.

2.3 Team Application Information

When a person applies to join PAS as a volunteer, PAS collects:

  • the applicant's Roblox username and Discord username;
  • the creative or operational roles selected by the applicant and any other talent they describe;
  • the applicant's free-text explanation of what they would like to contribute;
  • yes-or-no answers about relevant experience, whether the applicant currently plays Adopt Me, and whether they have watched PAS before;
  • the submission date and time, the privacy acknowledgement, and a technical request reference; and
  • limited technical and security information used to protect the form, including the Cloudflare Turnstile token, the IP address sent to Cloudflare for verification where available, and a one-way hash derived from the IP address for short-term rate limiting.

PAS uses this information to review the application, assess the applicant's interests and suitability, contact the applicant through Discord, plan or coordinate volunteer participation, protect the form against abuse, and handle related questions or disputes. Submitting an application does not guarantee selection or a response.

Application data is transmitted through Resend to the PAS mailbox hosted by Zoho. Resend may process the application email and related transmission metadata. Applications are intended to be reviewed by Calculus and may be shared only with a limited number of PAS team members who need the information to select or coordinate volunteers. PAS does not publish application answers, use them for marketing, or add applicants to the newsletter.

Applicants should not include a real name, exact age or date of birth, home address, telephone number, password, authentication code, government identification, payment information, health information, photograph, or other sensitive information in an application.

2.4 Cloudflare Turnstile and Rate Limiting

PAS uses Cloudflare Turnstile to protect newsletter and team application forms against automated submissions. Turnstile may process an IP address and signals about the browser, device, environment, and interaction in order to distinguish legitimate visitors from bots. PAS sends the resulting security token and, where available, the visitor's IP address to Cloudflare for verification.

PAS also creates a one-way hash derived from the IP address for a short newsletter rate limit. The rate-limit entry is intended to expire after approximately 20 seconds. PAS does not use it to identify or contact a visitor.

For team applications, the separate one-way IP-address hash used for rate limiting is intended to expire after approximately 60 seconds.

Cloudflare's processing is described in its Privacy Policy and Turnstile Privacy Addendum.

2.5 Website, Hosting, and Analytics Information

When a visitor accesses the website, PAS and Cloudflare may process limited technical information, including:

  • IP address;
  • browser, device, and operating-system information;
  • requested pages and referral information;
  • general country or region;
  • date and time of access;
  • security events; and
  • performance and diagnostic information.

The website is hosted through Cloudflare Pages and may use Cloudflare delivery, security, performance, and Web Analytics services. Cloudflare Web Analytics is designed to provide aggregate statistics without cookies or cross-site visitor tracking, while Cloudflare may still process network and request information to deliver and secure the website.

2.6 YouTube Information and Browser Storage

PAS uses YouTube API Services to retrieve public statistics about the PAS YouTube channel and its videos, including public subscriber, view, like, and comment counts. PAS does not use the YouTube API to identify visitors, access private YouTube information, upload to visitor accounts, or require visitors to sign in.

The website may store a short-lived copy of those public statistics and a cache timestamp in the visitor's browser using local storage so the page can load efficiently. This cache is not intended to identify a visitor and is refreshed or replaced as the statistics expire.

PAS does not currently request Google or YouTube account authorisation. Google permissions can be reviewed through Google Security Settings. YouTube-powered features are subject to the YouTube Terms of Service, YouTube API Services Terms, and Google Privacy Policy.

2.7 Direct Communications

If a person contacts PAS, PAS may receive a name or username, email address, message content, attachments, and information needed to answer the request. PAS uses Zoho Mail to host its contact mailbox, so Zoho may process messages and associated delivery and security metadata under its Privacy Policy.

People should not send passwords, payment information, government identification, home addresses, or other sensitive information that PAS has not requested.

03How PAS Uses Information

PAS may use information to:

  • collect, count, validate, and calculate voting results;
  • reduce duplicate, automated, fraudulent, or manipulated voting;
  • investigate security incidents, technical abuse, or violations of the Terms;
  • publish aggregate results, percentages, nominees, finalists, and winners;
  • provide newsletters and reminders requested by subscribers;
  • manage unsubscribe and suppression requests;
  • operate, secure, diagnose, and improve the website;
  • display public YouTube statistics;
  • review team applications, assess applicant interests and suitability, contact applicants, select and coordinate volunteers, and manage team participation;
  • respond to questions, privacy requests, and copyright reports;
  • meet legal obligations; and
  • protect PAS, visitors, and other people from misuse or harm.

PAS will not use voting usernames to contact voters through Roblox. PAS will not use application information to subscribe applicants to newsletters or marketing, and it will not contact applicants through Roblox.

04Legal Bases

Where applicable law requires a legal basis, PAS relies on:

  • consent for newsletter subscriptions, other optional communications, and any separately offered choice to retain an application for future opportunities beyond the normal retention period;
  • legitimate interests in operating a fair voting process, preventing fraud, securing and maintaining the website, selecting and coordinating volunteers, responding to requests, and protecting legal rights;
  • steps requested by a visitor, such as recording a vote, reviewing a team application, or responding to a message;
  • compliance with legal obligations; and
  • establishment, exercise, or defence of legal claims where necessary.

Newsletter consent may be withdrawn at any time by unsubscribing. Where PAS relies on legitimate interests, affected individuals may have a right to object depending on their jurisdiction and circumstances.

For ordinary team application processing, PAS generally relies on steps requested by the applicant and its legitimate interests in selecting and coordinating volunteers. Consent is used only where an applicant is given a genuinely optional choice, such as extended retention for future opportunities.

05Sharing and Service Providers

PAS does not sell or rent personal information. PAS does not publish identifiable voting records or team applications. Information may be processed by:

Cloudflare

Cloudflare provides hosting, delivery, security, analytics, Turnstile verification for newsletter and team application forms, short-term rate limiting, and related technical services.

Resend

Resend processes newsletter contact, subscription, suppression, delivery, and related engagement information. Resend also transmits team application emails and may process their content and related delivery metadata.

Moaform

Moaform hosts and processes PAS voting forms, responses, cookies, access records, and technical information.

Google and YouTube

Google and YouTube provide public channel and video information through YouTube API Services.

Zoho

Zoho hosts PAS email and processes direct communications, team applications received in the PAS mailbox, and associated delivery or security information.

Other Disclosures

PAS may disclose information when required by law or valid legal process; where reasonably necessary to investigate fraud, abuse, or security incidents; to protect rights, property, or safety; to professional advisers who need it; or as part of a transfer or reorganisation of the PAS project subject to appropriate protection.

06International Processing

PAS operates from Lebanon and uses providers that may process information inother countries depending on provider infrastructure and account settings. Privacy laws in those countries may differ from the law where a visitor lives.

Where required, PAS will use provider data-processing terms, contractual transfer safeguards, and data-minimisation measures appropriate to the information and service. Visitors may contact PAS for more information about relevant providers and safeguards.

07Retention

PAS keeps information only as long as reasonably necessary for the stated purpose:

  • identifiable voting usernames and vote records are normally deleted or anonymised within 90 days after final results are announced;
  • voting records may be kept longer while a credible manipulation review, dispute, legal obligation, or legal claim remains open;
  • aggregate, anonymised voting totals and final results may be kept indefinitely;
  • newsletter addresses are kept while subscribed, and a limited suppression record may remain after unsubscribe so the request is respected;
  • the newsletter rate-limit hash is intended to expire after approximately 20 seconds;
  • the team application rate-limit hash is intended to expire after approximately 60 seconds;
  • team applications are retained only for as long as reasonably necessary to review the application and coordinate participation; information needed to coordinate a selected volunteer may be kept while participation continues or for longer where reasonably necessary for safety, a legal obligation, a dispute, or a legal claim;
  • browser-cached YouTube statistics are short-lived and are refreshed or replaced when expired;
  • contact messages are normally retained for up to 24 months after the last substantive communication, unless a longer period is needed for an open request, dispute, legal obligation, or claim; and
  • technical and provider logs are retained according to security needs, account settings, and the applicable provider's retention practices.

PAS will periodically review identifiable voting, application, team, and contact information and delete or anonymise it when no longer needed.

08Cookies and Similar Technologies

PAS does not use cookies for targeted advertising. The website may use:

  • security cookies or similar storage that Cloudflare or Turnstile considers necessary to deliver and protect the service;
  • cookies and technical storage used by Moaform when a visitor opens or uses a voting form; and
  • local storage containing public YouTube statistics and a cache timestamp.

Visitors can control cookies and site data using browser settings, although blocking necessary storage may prevent voting, security checks, or other features from working. If PAS introduces non-essential advertising or tracking technologies, it will update this Policy and provide consent controls where required.

09Children's Privacy

PAS content is likely to be enjoyed by younger visitors, so PAS aims to minimise collection and use age-appropriate explanations.

PAS does not ask visitors, voters, newsletter subscribers, or team applicants to provide their exact age or date of birth, and this Policy does not set a universal minimum age for those features. Use of PAS remains subject to applicable law and, where relevant, the involvement or authorisation of a parent or legal guardian.

Because PAS does not collect age or date-of-birth information, PAS does not ordinarily know a visitor's age. A parent or legal guardian may subscribe using the adult's own email address and may contact PAS if they believe a child has submitted information that should not be retained.

If PAS learns from the child, a parent or legal guardian, or another reliable source that a child used an interactive feature in circumstances where the information should not have been accepted or retained, PAS will review the matter and take appropriate action. Depending on the feature and circumstances, PAS may invalidate or remove a vote or submission, delete a team application or communication, unsubscribe an email address, stop further contact, and delete associated personal information reasonably within its control.

PAS does not ask voters or team applicants for real names, exact ages or dates of birth, home addresses, telephone numbers, passwords, photographs, payment information, government identification, health information, or private Roblox credentials. A parent or legal guardian may raise a concern at [email protected]. PAS may take proportionate steps to confirm the requester's authority without asking for more information than reasonably necessary. Where deletion or removal is appropriate or legally required, PAS will act as soon as reasonably possible, except that limited information may be retained where necessary for safety, fraud prevention, a legal obligation, a dispute, or a legal claim. A limited newsletter suppression record may also remain so that an unsubscribe request continues to be respected.

10Data Security

PAS uses reasonable technical and organisational measures such as HTTPS, limited administrative access, account protection, reputable providers, Cloudflare security services, and data minimisation. No website, provider, or transmission method can be guaranteed completely secure.

11Privacy Rights

Depending on where a person lives, they may have rights to ask whether PAS holds information about them; request access, correction, deletion, restriction, or portability; object to certain processing; withdraw consent; unsubscribe; and complain to a relevant data-protection authority.

An applicant may ask PAS to withdraw or delete an application, correct contact details or answers, or stop being considered for future opportunities. PAS may retain a minimal record where reasonably necessary for security, safety, legal, dispute, or fraud-prevention purposes.

Requests may be sent to [email protected]. PAS may request enough information to verify the request. Verification may be difficult for voting records because PAS does not verify ownership of Roblox usernames. Information may be retained where required for security, legal, dispute, or fraud-prevention purposes, and information that has been irreversibly anonymised may remain.

PAS links to external websites and services, including YouTube, Uplift Games, Roblox-related pages, social media, and third-party forms. PAS does not control their privacy practices. Visitors should review the policies of services they choose to use.

13No Sale or Targeted Advertising

PAS does not sell personal information, exchange it for money, or use voting usernames, newsletter addresses, or team application information for targeted advertising.

14Changes to This Policy

PAS may update this Policy when features, providers, voting methods, legal requirements, or privacy practices change. The latest version will be posted with an updated date. Material changes may also be announced through the website or another reasonable channel and, where required, new consent will be requested.
